Important Dates & Details for Exhibitors

Early Bird rates end September 1. Literature materials must be received by October 1, 2026.

Exhibitor Information

Everything you need to prepare for CAPED 2026 as an exhibitor or sponsor.

Event Fees & Booth Setup

Your ticket includes one 6’ x 30” table, two representatives, two chairs, one recycle bin, an identification sign, and a listing in the convention program materials under exhibitors.

Additional representatives: $200 each

Electricity and Wi-Fi will be provided. Please indicate in your registration if you need either or both.

Literature Distribution

Have your literature prepackaged with attendee registration materials. This is a great option for vendors who are unable to attend in person.

Deadline: All materials must be received by October 1, 2026.

Mailing Lists

Exhibitors may purchase a CAPED member mailing list and/or the convention attendee mailing list. A signed mailing list usage agreement is required.

  • Pre-convention lists are delivered by email 30 days and 10 days before convention.
  • Post-convention lists are delivered by email 10 days after convention.

Breakout Session Opportunity

If you plan to purchase a breakout session, you must be a registered exhibitor and submit a workshop description for approval.

Accessibility Expectations

Exhibitors are expected to follow the Americans with Disabilities Act in all offerings of public information and services during the conference.

Please ensure that all videos displayed at your booth are closed captioned.

Shipping, Storage & Welcome Bag Materials

Shipping and storage of exhibit materials must be coordinated directly with the hotel.

If you have paid to distribute literature in attendee welcome bags, please prepare 400 individual pieces and ship them to arrive by October 1, 2026.

Cancellation Policy

Please review the policy carefully before registering.

Cancellation Policy Details

No refund shall be made to any exhibitor who cancels contracted exhibit space after October 1, 2026. No refund shall be made to any exhibitor who fails, for any reason, to occupy the space reserved.

Payment minus the $100 processing fee will be refunded upon written request for cancellation received by the Exhibitor Coordinator before 5:00 PM PST on October 1, 2026.

In the unlikely event that the convention is canceled by CAPED, all paid exhibitor fees will be promptly refunded or, if preferred, rolled forward to the 2027 convention.

Additional Exhibitor Terms & Conditions

  • Upon completion of registration, I understand that I am contractually obligated to pay all fees for this event at checkout.
  • Early Bird Registration: Early bird pricing ends September 1. After that date, regular rates apply.
  • No Show Policy: If a registrant or exhibitor does not attend, the full convention fee will not be refunded.
  • Payment Policy: Purchase orders, checks, and delayed payments will not be accepted. Payment is due at the time of purchase.
  • Photo/Video Consent: By purchasing a ticket and attending CAPED 2026, you acknowledge consent to event photography and video recording.
